Each company within Swedish Match that is conducting a current recruitment process is personal data controller for processing your personal data.
What personal data and why?
If you apply for a job or internship with Swedish Match, we process the data that you share with us in your application and during the recruitment process. The data comprise your name, address, personal identity number, contact information (e-mail address and telephone number), grades, references, certificates and other information that you provide in your application (such as your CV and personal letter).
The personal data processed is collected from you directly if you contact Swedish Match directly or apply via our website. The data may also be collected via one of the companies with which Swedish Match cooperates in conducting recruitment.
In the event that you progress in a recruitment process, we may also conduct a background check of you in cooperation with an external company. Prior to such a background check being carried out, the company contacts you and requests your consent, as well as providing you with more information about the processing of your personal data that is being carried out.
Our legal basis for processing personal data relating to you as one of our job applicants is our legitimate interests in receiving you application and conducting the recruitment process for the position that you applied for with us, your consent (where relevant) and to fulfill our obligations and observe our and/or your rights according to labor law, for example, in the event that we may become subject to claims in accordance with labor law.
With support of our legitimate interests, your personal data are processed for the purposes of:
- reviewing your application documents (including CV, personal letter, certificates and grades)
- assessing how well your application matches the position advertised and making considerations in relation to other candidates’ applications based on competence, merits, experience and study results,
- administering the recruitment process, such as calling you for interview, giving you the offer of employment or informing you that you have unfortunately not got the job.
On the basis of your consent, your personal data is processed for the purpose of saving your data for any future recruitment processes that may be suitable for you. Please note that, if you have given your consent, you may always withdraw such consent at any time.
How long do we save the data?
We save your personal data for the time necessary for the purposes described above. When it comes to that part of our processing of your personal data that is based on our legitimate interests, we generally do not process your personal data after the recruitment process has ended. To be able to exercise our rights in accordance with labor law, we may need to save your application documentation after the recruitment process has ended for the period permitted according to the applicable legislation. If we reach agreement with you that we may save your personal data for any future recruitment processes, we will save them for as long as you agree to this or until our purpose ceases to apply.
Who do we share your personal data with?
Swedish Match may share your personal data with other companies within the Swedish Match Group, as well as with collaborating partners, for example when providing IT and subscription services. These recipients only process your personal data on our behalf and in accordance with our instructions. Swedish Match takes all appropriate legal, technological and organizational measures to ensure that your personal data is processed securely, and with an adequate level of security when transferring to, or sharing with, selected recipients of this kind.
Swedish Match may also share your personal data with other companies who process your personal data independently, outside of our control. We only share your information with these companies in order to fulfill our commitments towards you. When your personal data is shared with these companies, which are independent controllers, your personal data is processed in accordance with what is outlined in these companies’ privacy notices.
Swedish Match may also share your personal data with government agencies if we are obligated under the law to do so, or on suspicion of criminal activity.
Where do we process your personal data?
Your personal data will primarily be processed within the EU/EEA, but may also be transferred to a country outside the EU/EEA, such as the United States, for example, if we share your information with other companies in the Swedish Match Group.
Swedish Match will only transfer your personal data to a country outside the EU/EEA if there are legal grounds to do so and sufficient guarantees that your personal data will be handled in a lawful manner. In such cases, Swedish Match takes all appropriate legal, technological and organizational measures to ensure that your personal data is processed securely, and with an adequate level of security comparable to the level of protection offered within the EU/EEA.
